Environmental solutions company “Ecosoul” is the controller of the data of natural persons, which processes the personal data of its clients (Clients) in order to provide legal services and, in accordance with the consent given by clients, to provide Clients with information about areas of interest to them.

This privacy policy (Policy) sets out for what purposes and for how long we process Customer’s personal data and what Customer’s rights are in relation to this.

How “Ecosoul” processes Customer’s personal data

We process customer data for the following purposes: to provide legal services in accordance with the Legal Services Agreement, to fulfill regulatory requirements, to inform Customers about current events in areas important to them, to process data on potential candidates for establishing working relationships and to communicate with potential customers according to their request.

“Ecosoul” obtains personal data from various sources, including from the Clients themselves (their representatives, employees, etc.), publicly available resources, databases and registers. Data sources may vary depending on the content of the specific legal aid. Data sources are determined and specified for each Client so that our services can be provided as efficiently as possible.

Provision of services

We process personal data to provide the services requested by the Customer. This data processing is necessary for the execution of the Legal Services Agreement and for the performance of certain measures prior to the conclusion of the agreement.

The following data processing operations are performed within the scope of service provision:
For personal identification;

Drafting contracts, as well as ensuring the fulfilment of contractual obligations;
Billing administration;
Planning, accounting, and reporting;
Statistics and business analysis;
For ensuring the security of information, information systems and the enterprise;
Data quality assurance;
For the provision of information to state institutions and subjects of operational activities in the cases and to the extent specified in external regulatory enactments;
Customer safety and company protection;
For other specific purposes about which the controller notifies in advance.

Legal basis for processing personal data

“Ecosoul” processes personal data on the basis of:

The necessity to comply with the requirements of regulatory enactments;
The need to ensure fulfillment of contractual obligations and the conclusion of new contracts;
Consent of the data subject to processing his/her personal data;
Legitimate interests of the controller (conducting business, fulfillment of contractual obligations, identification of persons, attraction and retention of customers, advertising of services, security of the company and prevention of fraud, administration of payments, improvement of the quality of services).

Compliance with applicable laws and regulations

“Ecosoul” is an environmental consulting company founded in Latvia aiming to spark positive change and sustainable innovation for clients with diverse sector backgrounds. Our mission is to safeguard biodiversity and communities by developing data-driven sustainable strategies backed by our team of certified nature experts.

In order to ensure compliance with the applicable laws and regulations, in some cases “Ecosoul” is obliged to obtain personal data from various sources or disclose personal data to state authorities without informing the Customer.

Career

We process personal data (name, surname, e-mail address, phone number, resume and motivation letter) of candidates who send their application directly to us by e-mail. Such personal data of candidates is processed at the request of the data subject in order to carry out activities prior to the conclusion of the employment contract. If you do not provide your personal data, we will not be able to invite you to an interview and evaluate the suitability of your candidacy for the position.

When recruiting, we process only the personal data of candidates that are related to qualifications, professional competence and characteristics. We do not collect or process personal data of special categories of candidates unless required by law.

Contact form

We use and process your personal data (name, surname, e-mail address and the content of your question) that you have entered in the “Contact us?” section of our website for the purpose of providing answers to your questions based on our legitimate interests, especially in connection with performing professional activities and ensuring control of compliance with information security and confidentiality requirements. If you do not provide your personal data, we will not be able to answer your question.

Duration of storage of customer’s personal data

Different categories of Customer data are stored for different periods of time, depending on the document containing the relevant personal data, the significance and importance of the information, the requirements of the applicable regulatory acts and the need to defend or bring any legal claims.

The customer’s personal data is stored to the extent necessary to achieve the relevant data retention purpose, and as soon as this purpose is achieved, the personal data is destroyed in a secure manner, ensuring that it cannot be restored.

Customer rights regarding data processing

“Ecosoul” shall respond to the Customer’s request to use this right and act in accordance with the said request as soon as possible, but no later than within 30 (thirty) days after receiving the Customer’s request.
